Software Licenses in a Nutshell

With over 1,300 employees, BITMARCK, the largest IT service provider for Germany’s statutory health insurance companies, implements intelligent IT solutions for company and guild health insurance companies, as well as for the DAK-Gesundheit and other health insurance companies. BITMARCK decided in early 2010 to introduce software license management on the basis of Aspera’s SmartTrack system. The aim was to manage all software licenses in a way that would ensure cost transparency and compliance.

Throughout the group, the plan was to optimize contracts and the purchasing of licenses. One particular challenge was to set up a license inventory, as business data existed only in paper form. In order to do this, invoices and delivery notes had to be examined and assessed, and the heterogeneously distributed data had to be processed accordingly. The data that had been determined and prepared was then imported into SmartTrack. It was also important to connect appropriate data sources to the Aspera system via individual interfaces. Complex dependencies between individual data sources needed to be taken into account, to ensure optimum data quality and to be able to map software use accurately according to devices and users. License management successfully went live at the end of 2012.

Thanks to Aspera, we now have a transparent, company-wide overview of software installations and the software inventory. The latter includes over 1,500 items from more than a hundred software manufacturers.
